To streamline a coffee shop with Square, focus on the three places time disappears: ringing complex drink orders, the morning rush, and end-of-day waste. Build drinks with smart variations and modifiers, route tickets straight to the bar, move regulars to order-ahead, and track the few items that actually sell out.
This guide is written for small cafes with one to three people on shift, but the same ideas scale to multiple locations.
1. Build your drink menu for speed
Coffee orders are mostly modifiers. A latte might be a size, a milk, a syrup, an extra shot and "iced". Setting this up well in Square saves seconds on every ticket.
- Use variations for size. One "Latte" item with Small, Medium and Large variations, not three separate items.
- Group modifiers logically. Separate sets for Milk, Syrups, Espresso and Temperature. Put the most common choice first.
- Price modifiers once. Charge for oat milk or extra shots in the modifier set so the price is always right.
- Name items the way baristas say them. Short, clear names print better on cup labels and tickets.
Test the setup by ringing your five most complicated drinks. If any takes more than a few taps, simplify the modifier sets.
2. Design the register for the rush
- Top 12 on the first screen. Drip, latte, cappuccino, cold brew, your signature drink and the best-selling pastries.
- One person rings, one person makes. Even in a two-person shift, separating order taking from the bar keeps drinks flowing.
- Send tickets to the bar automatically. A ticket or label printer at the espresso machine, or a kitchen display, means nobody shouts orders across the counter.
- Make tipping quick. Keep tip options simple so the guest finishes paying in seconds.
More rush-hour setup ideas are in configuring Square POS for peak hours.
3. Move regulars to order-ahead
Your most loyal guests often order the same drink at the same time every day. Order-ahead lets them skip the line, and it spreads your rush across more minutes. To make it work:
- Show realistic prep times so pickups are not waiting at the counter.
- Create a clear pickup shelf with names facing out.
- Print online orders at the bar alongside walk-in orders, in the order they were placed.
- Notify guests when their drink is ready.
4. Track pastries and grab-and-go, not every bean
Full ingredient tracking is a lot of work for a small cafe. Start with the items that sell out or go to waste:
- Turn on stock counts for pastries, sandwiches and bottled drinks.
- Set low stock alerts for items you reorder from vendors.
- Each night, compare what you baked or received with what sold, and record what you threw away.
After two to three weeks, you will see which days need fewer croissants. Our guide on tracking and reducing food waste shows how to log waste in Square.
5. Keep the team running smoothly
- Give every barista their own passcode and use timecards for clock in and breaks.
- Schedule around your sales by hour report, not habit.
- Limit refunds and comps to shift leads.
See leveraging Square POS for coffee shop employee management for the team side.
6. Make loyalty effortless
Coffee is a habit business, and a simple "buy 9, get the 10th free" style program fits it well. Square Loyalty lets guests join with their phone number at checkout and earn on every visit. Setup steps are in our Square Loyalty guide.
A simple daily routine
Before open
- Check that registers, readers and printers are online.
- Load the pastry case and update stock counts.
- Mark anything unavailable so online orders do not include it.
After the morning rush
- Glance at sales so far and what is running low.
- Adjust afternoon bake or prep.
At close
- Count the drawer and review the day's sales summary.
- Record pastry waste.
- Confirm all timecards are closed.
Common mistakes
- One item per drink and size. It clutters the screen and makes reports harder to read.
- Free modifiers that should cost money. Alternative milks and extra shots add up over a year.
- Online orders on a separate device. If baristas have to watch a second tablet, orders get missed in the rush.
- Loyalty nobody mentions. Train staff to ask "Want to earn points?" on every order.
How Orda fits
Orda gives coffee shops on Square their own branded iOS and Android order-ahead app, plus web ordering and self-ordering kiosks. The menu syncs from Square, orders print and appear in Square POS with your walk-in orders, Square Loyalty points show in the app, and push notifications bring regulars back. More than 10,000 Square businesses have used Orda.
